The thank-you nobody remembers to send

Paid, acknowledged, and the next step offered

The silence after a customer pays is short but it is the wrong kind of silence — they have just handed over money and heard nothing back, which is exactly when doubt arrives.

  • Acknowledges within a minute of the record changing
  • Confirms what happens next, with a date
  • Retags so the customer leaves the chasing segments
  • Never chases somebody who has already paid

Today

Payment received on Friday, acknowledged Monday, and a chasing message sent by mistake in between.

With this running

An immediate thank-you naming the next step, and a contact whose tags are already correct.

Step by step

What actually happens

  1. Your team

Marks the deal as paid, or another system moves it.

  2. Assistant

Reads the deal, thanks the customer and states what happens next.

  3. Assistant

Removes the awaiting-payment tag so no collections run picks them up.

The retag is the quiet half

The thank-you is nice. The part that prevents an actual problem is removing the tag that puts them in a chasing segment — which is how a paying customer receives a reminder about the invoice they just settled, and it is the fastest way to undo the goodwill the payment created.

How this is put together

The same building blocks every assistant is made of. Nothing here is bespoke to this scenario.

Tell us the scenario you have in mind. If it needs a building block we do not have, we would rather say so than sell you a demo.
