Five: WhatsApp through the official Cloud API, Facebook Messenger, Instagram DMs, an embeddable website chat widget for your own site, and your own personal WhatsApp number linked by QR code. All five land in the same shared inbox, against the same contacts, with the same AI assistant.

Do I need to change my WhatsApp number?

Accepted Answer

No. RaabtaHQ connects through the official WhatsApp Cloud API, so you keep your existing business number and stay fully compliant with Meta's policies.

If the same customer messages on two channels, is that one contact?

Accepted Answer

Wherever a phone number is involved, yes — WhatsApp, your own linked number, imports, the booking page and contacts added by hand all resolve to a single record, and a unique index in the database enforces it rather than code that has to remember. Messenger and Instagram are the honest exception: Meta identifies a sender by an opaque page-scoped id and gives us no phone number or email, so there is no shared key to match on and those arrive as their own contact. Website chat behaves the same way. We would rather tell you up front than have you find out from a duplicate.

Can AI reply to customers automatically?

Yes, when you're ready. It starts as a copilot — it drafts, your team sends. Switch it on and it answers within the tools, hours and spending limit you set, hands over to a person the moment it is out of its depth, and stops the instant a colleague opens the thread. You can also require your approval for individual actions, so it asks before doing anything you would want to check.

Can it do work that isn't answering a customer?

Yes. An agent can start on a schedule, when a deal moves or a booking changes, or from a button — no customer message needed. It can review last month's ad spend, chase stalled deals or write up a report, split a big job across helpers that work in parallel, and stop to ask you before anything that needs a decision. You see what it did in plain language, not logs.

Is my data secure and private?

Every account's data is isolated at the database level with row-level security. WhatsApp tokens and AI keys are encrypted at rest, and inbound webhooks are signature-verified.

The CRM, inbox and AI Assistant fit almost any business that talks to customers on chat. You shape it to your process with your own pipeline stages, custom fields and tags rather than adapting to someone else's workflow.

Can I use my own AI provider key?

Accepted Answer

Yes, and many businesses do. Configure Anthropic, OpenAI, Google or Google Vertex on your account and pay that provider directly — we never see the invoice. Your key is encrypted at rest. If you would rather not manage a provider account, we can supply the capacity instead and bill you for what you use.

How do I stop AI costs running away?

Set a monthly budget in the app. As you approach it you get a warning, then a grace period, then the assistant stops rather than quietly spending more. Usage is broken down so you can see which features are consuming it.

There is no self-serve trial, because there is no self-serve signup: every account is provisioned by us so it arrives already configured for your business. Book a demo instead and we will show you the product running on real data.

How is this different from the API key?

Accepted Answer

An API key is a machine credential whose power is fixed when it is created, and it acts as nobody in particular. An MCP connection is a delegation of one person's authority: it runs as a real user session, so every permission behaves exactly as it does for that person in the dashboard. If they change roles, the connection changes with them.

Which clients does it work with?

Accepted Answer

Claude on the web, Claude desktop, Claude Code, and any client that speaks MCP — the setup screen carries step-by-step guidance for each. There is no OAuth to configure: the credential is a token in the URL, which is the shape Claude's custom connectors accept.

Can a teammate see my connections?

Accepted Answer

You manage your own. Account admins can additionally see and revoke every connection on the account, which is what makes offboarding a person actually possible.

What if a token leaks?

Regenerate it — the old URL stops working immediately. Tokens are stored only as hashes, expire by default after 90 days, and an unknown, revoked or expired token returns the same bare 404, so the endpoint never confirms which tokens exist. Failures are rate-limited per IP.

Am I missing out by not having an industry module?

No — and you gain one thing. Every core capability is identical either way, and the generic bookings module is available only to accounts without a module, because on an industry account that module owns scheduling instead. What a vertical adds is records the core CRM cannot hold: clinical notes, treatment plans, visa case checklists. If your business doesn't have those, there is nothing to add.

Can I add an industry module later?

Yes. An account that starts with no module can have one added. It only goes one way, though: once a module is set it is frozen, because switching a live account between verticals means moving real records, which is a data migration rather than a setting. Talk to us before you decide, not after.

No — the pricing is the same either way. You are not buying a set of features; you are buying the platform, the setup and the support behind it.

The setup fee exists so that this is our problem rather than yours. We deploy the account, connect your channels, import your contacts, build your pipelines and fields around how you already work, configure the AI assistant, and train your team. You are not handed a login and a documentation link.

Does the AI assistant ever see clinical records?

Accepted Answer

No. The clinic's AI tool group deliberately contains no clinical tool at all — the safest guarantee that an autonomous assistant never reads a medical record is to give it no way to ask for one. Three read-only clinical tools do exist, but only over MCP, where a named human is driving and confirming each call; they are off by default, refuse to run unless the session is scoped to a real user, and every read is written to the activity log.

Yes. Connect it through the official WhatsApp Cloud API, or link a number directly by QR if you would rather not go through Meta Business approval. Either way the clinic's appointments, patients and invoices sit behind the same inbox.

Appointments, patients' contact details and invoices — everything they need to run the desk — and nothing clinical. That boundary is enforced by the database, so it holds however the data is reached.

No, and that boundary is built into the module rather than left to a prompt. The assistant informs — it can tell a student where their case is, what is outstanding and when a deadline falls — but advising on an application is a human's job, and the tools it is given reflect that.

Are a counsellor's conversations private to them?

They can be. A counsellor can link their own WhatsApp number as a private number: its conversations appear only in their own inbox, plus for account admins, and never in the shared team inbox. That separation is enforced by the database, not by a filter in the interface.

Can each branch see only its own students?

Yes. Students, cases and the work attached to them are scoped by branch, with per-branch student codes, so an office sees its own book rather than the whole company's.

What happens when a country changes its requirements?

Publish a new version of the affected step template. Cases already closed are untouched, completed steps are untouched, and open tracks pick up the newer steps only. A drift worklist shows you which open tracks are still running the older version so you can decide case by case.

Does it cover mainland, free zone and offshore?

Yes. Jurisdictions are a list you control, each marked as mainland, free zone or offshore, carrying its own licence term and whether it can sponsor visas. A starter set of the common UAE authorities is included, and you can add, rename or retire any of them.

Can a client see only their own case?

Yes, and that is enforced by the database rather than by what the screen chooses to show. Access is a grant on a specific engagement, so a client invited onto one case cannot reach another — and a client account reads none of your contacts, conversations or inbox at all.

No. A portal login is attached to your account but is not a member of it, so it does not consume a seat and does not appear in your team roster. You can invite as many clients onto a case as the case actually involves.

Yes. Clients, engagements and the work attached to them are scoped by office, with per-office client codes and invoice prefixes, so a branch sees its own book rather than the whole company. Managers see their whole office; owners and admins see everything.

On the net professional fee after discount and before tax — never on government charges passed through at cost. It is frozen onto the invoice when the invoice is issued, so changing a rate later affects new work only and never rewrites a payout already earned.

Yes. Every service is either one-time or recurring, so the same catalogue covers a one-off formation and a monthly digital retainer. Recurring services raise their own invoice each cycle, advancing from the last cycle rather than from today so a missed run catches up instead of skipping.

The assistant answers, if you have it switched on for WhatsApp — inside the tools and spending limits you set. If you would rather it did not, the conversation is flagged for attention and waits for a person. Either way the message is in the inbox, not on somebody's personal phone.

On the official API, only with an approved template, and only if they have opted in. Free-form first contact is not something WhatsApp permits and not something we can work around. Your own linked number is the exception — see Personal WhatsApp.

No. There is no payment processor in the product, so it books the appointment and your existing process for deposits carries on unchanged.
