WhatsApp broadcasts with approved templates

Send an approved WhatsApp template to a saved list, with each person's name and details filled in, now or on a schedule. Watch every recipient go from sent to delivered, read and replied, and anyone who says STOP is opted out automatically.

  • Official WhatsApp API
  • STOP in English, Roman Urdu and Urdu
  • Never the same campaign twice to one person

Replies land in each customer's own chat

The Shaadi season offer broadcast: 1,148 recipients, 1,139 sent, 1,102 delivered, 846 read and 93 replied, with 9 failed.
A customer replies mat bhejo and is opted out automatically; she won't get campaigns again.

One request, start to finish

A wedding-season offer goes to 1,148 customers on the official WhatsApp API

Step 1: Zeenat Salon picks its approved marketing template, with an image header, a body with two variables for the name and the discount, and a quick-reply button, Slot chahiye.
Step 2: the audience is a saved list of party-makeup customers from the last 12 months, minus anyone tagged Staff. The live reach is 1,148 contacts with a phone number. Opted-out contacts are left out, and checked again when it sends.
Step 3 fills the variables, the name from each contact and a fixed 15%, and previews it on a real contact, Rida. Step 4 schedules it for Friday 6 November at 11:00.
Of 1,148 recipients, 1,139 were sent, 1,102 delivered, 846 read and 93 replied; 9 failed. Replies land in each customer's own chat under the broadcast, and a customer who writes mat bhejo is opted out automatically.

01: TEMPLATES

Write, submit and track your WhatsApp templates in one place

WhatsApp only lets a business start a broadcast on the official API with a template Meta has approved. RaabtaHQ keeps that whole job in one screen. The template manager lists your templates by category (marketing, utility and authentication), with language and approval status.

  • Build the template

A header (none, text, image, video or document), a body with variables, a footer, and quick reply or link buttons.

  • Submit and edit

Send it to Meta for approval and edit submitted templates. Status updates arrive by themselves.

  • Sync from Meta

Templates you had approved elsewhere are brought in.

  • A drafting hand

An AI draft button helps you write template copy. You decide what gets submitted.

The same approved templates are used in one-to-one chats once WhatsApp's 24-hour window closes.

The template list: appointment_reminder (Utility) and login_code (Authentication) above the chosen shaadi_season_offer, a Marketing template marked Approved. Its preview shows an image header, a body with two variables, and a Slot chahiye quick reply and a Book online link button.

02: FOUR STEPS

Pick the template, the people and the time

When the season comes round and you want your regulars back, a campaign takes four steps.

  • 1 · Template

Pick an approved WhatsApp template, with its category, language and a preview of the body.

  • 2 · Audience

All contacts, a saved list, tags, a custom field (is, is not, contains) or an uploaded CSV of phone numbers. Exclude tags on top, such as Staff. The live reach counts only contacts with a phone number, exactly as the send will.

  • 3 · Personalise

Map each variable to fixed text, a contact field such as name or company, or a custom field. Upload an image, video or document header, or give a link. A live preview uses a real contact from your account.

  • 4 · Review and send

Name it, check the audience and reach, then send now with a confirmation, schedule it at least two minutes ahead, or save it as a draft.

The reach number you see in step 2 is the number the send will try. Contacts without a phone number are left out of both, so the count on screen never promises more than WhatsApp can deliver. Numbers saved with or without a leading zero still get through.

An immediate send shows live progress. A scheduled campaign can be moved, sent now or put back to draft before it goes. Both behave the same way once sending starts.

How saved lists work

Step 2 of 4: the saved list Party makeup, last 12 months, excluding anyone tagged Staff, reaches 1,148 contacts with a phone number. Opted-out contacts are left out now and checked again at send time.
Steps 3 and 4: {{1}} is filled with each contact's name and {{2}} with the fixed text 15%, previewed on Rida, and the send is scheduled for Friday 6 November at 11:00.

03: TRACKING

See who got it, who read it and who replied

A broadcast you can't measure is a guess. Every recipient moves forward one step at a time: pending, sent, delivered, read, replied. A failure can only happen early on. The statuses come from WhatsApp's own delivery reports.

  • The campaign page

Status, a funnel, and tiles for total recipients, sent, delivered, read and replied.

  • Every person

A recipient table with status, timestamps and reply time, filtered by status and exportable as CSV.

  • The campaign list

Recipients, delivery-rate and read-rate bars, status and date, updating live while it sends.

  • On the dashboard

A Sent, Delivered, Read, Replied funnel for campaigns in the chosen range, failures called out separately, and a delivery-rate tile that turns red below 90%.

  • Next campaign from this one

Saved lists can filter on who received, read, replied to or never replied to a campaign.

Read the funnel the morning after. A strong read count with few replies says the offer needs work. A low delivery rate says the list needs cleaning before the next send. Either way, you are deciding from what WhatsApp reported.

Large campaigns go out in paced batches and carry on until every recipient is done. A customer never gets the same template twice from one campaign, even after a crash. A send that might or might not have gone is marked failed, never resent.

The campaign report for Shaadi season offer: 1,148 recipients, 1,139 sent, 1,102 delivered, 846 read, 93 replied and 9 failed, from WhatsApp's own reports.
A dashboard tile shows the delivery rate, 96.8%: 1,102 delivered of 1,139 sent.

04: IN THE CUSTOMER'S CHAT

Every broadcast sits in the customer's own chat

Each broadcast message is saved in the contact's thread with the variables filled in, labelled with a megaphone and the campaign name, with delivered and read ticks. When the customer replies, your team sees exactly what they are answering. So does the AI assistant: a reply like yes, interested is read as an answer to that campaign.

  • Your inbox stays calm

A broadcast never reorders the inbox, never counts as unread, and is left out of reply-time and message counts.

  • Hidden threads for new contacts

A contact who has never chatted gets a hidden thread, kept out of the inbox, badges and dashboards. When they reply, it becomes a normal conversation with the broadcast above the reply.

  • Tidy up when you like

The hidden threads page shows the count, the oldest, a searchable list and a read-only viewer, with Move to inbox. Owners and admins can delete them. Deleting never removes a campaign or its report, and a thread that just got a reply is never deleted.

Rida's WhatsApp thread: the Shaadi season offer broadcast with a megaphone label and read ticks, then her reply, Slot chahiye, 22 Nov ke liye.

05: STOP MEANS STOP

STOP works in English, Roman Urdu and Urdu

Customers here say stop in more than one way. An incoming STOP in English, in Roman Urdu such as band karo or mat bhejo, or in Urdu script opts the contact out automatically. Everything queued for them is cancelled, and the AI assistant doesn't reply to the opt-out.

  • It sticks to the number

The opt-out is kept against the phone number, so it survives the contact being deleted and imported again.

  • Checked twice

Opted-out contacts are left out of every audience, and checked again at send time in case someone opts out mid-campaign.

  • Visible on the contact

Marketing status shows on the contact. Any agent can opt someone out. Opting back in is admin-only.

Saba Anwar writes STOP. The thread notes: Opted out. Won't get campaigns again. Her marketing status reads Opted out.

The honest part

What it won't do

  • Broadcast on Instagram, Messenger or website chat

Templates and template broadcasts are on the official WhatsApp API only.

  • Let you rewrite an approved template per campaign

The body is fixed by the template. Only the variables and the header media change.

  • Reach contacts without a phone number

They are left out of the reach count and the send.

  • Add people who joined the list later

A campaign built from a saved list keeps the people it had when it was built.

  • Send in the next minute

A scheduled campaign needs at least two minutes' lead time.

  • Go past your plan

Broadcasts each month count against a plan limit.

  • Resend a message it isn't sure about

After a crash, an uncertain send is marked failed rather than risk a duplicate.

Broadcasting from your own linked number (unofficial) works differently, with free text and no templates. See

Questions about broadcasts

Asked before the first campaign

Why do I need an approved template?

On the official WhatsApp API, Meta requires an approved template to start a broadcast. You write and submit templates inside RaabtaHQ, and approval status updates arrive automatically.

Which words opt someone out?

STOP in English, band karo or mat bhejo in Roman Urdu, and the same request written in Urdu script. The contact is opted out automatically and anything queued for them is cancelled.

Can I send broadcasts on Instagram or Messenger?

No. Template broadcasts are on the official WhatsApp API only. Instagram and Messenger have no templates.

Will a broadcast flood my inbox?

No. Broadcast messages sit quietly in each customer's thread, don't reorder the inbox and don't count as unread. Only replies show up as normal conversations.

What if someone opts out halfway through a campaign?

Opt-outs are checked again at send time, so a person who says STOP while a campaign is going out is left out of the rest of it.

Can the AI assistant send broadcasts by itself?

Only if you allow it. Mass sending is one of the assistant's tools, and it starts switched off.
