Dashboard, reports and a business summary on WhatsApp

See how every channel is doing on one screen: conversations, reply times, lead quality, deals and campaigns. Every number opens the chats or records behind it. And if you'd rather not log in each morning, we set up a summary that arrives on WhatsApp from your own number.

01: THE NUMBERS

Twelve numbers that tell you how the week went

Most owners find out how the business is doing by scrolling through WhatsApp on the way home. The dashboard puts it on one screen, and every number on it is a link. Click Needs attention and you see those chats. Click Open deals and you see the deals.

Twelve tiles sit in three rows. The first shows activity: active conversations, new contacts, messages sent and the value of open deals in your own currency. The second shows how well you are serving people: chats needing attention, the median time to first reply with how many chats it is based on, the delivery rate and the share of replies the AI wrote. The third shows lead quality, once AI lead labelling is on.

  • One date range for everything

Seven, 30 or 90 days, 12 months, this month, last month or your own dates. Widgets that show right now, such as open chats and open deal value, ignore the range and say so.

  • Honest comparisons

Each tile compares with the previous period of the same length. A number that was zero last time reads New this period, never +100%, and a rate with nothing sent shows a dash.

  • Warnings where they matter

Needs attention turns amber above zero, and the delivery rate turns red below 90%.

  • Everyone sees the same figures

Chats on a team member's private number are left out of every tile. Widgets a role cannot read are hidden, never shown as a misleading zero.

  • Shortcuts

New contact, new deal, new broadcast, the AI assistant and hot leads, one click each.

Twelve dashboard tiles for the last 30 days in three rows. Overview: active conversations, new contacts, messages sent and open deals in PKR. Service quality: needs attention in amber, median first response with the number of chats, delivery rate and the share handled by the AI. Lead quality: hot leads with warm and cold counts, hot leads waiting, chats classified with corrections, and spam and job enquiries.

02: THE PATTERNS

When customers write, and who answers them

The tiles tell you how much happened. The charts tell you when, where and who handled it, which is what you need to plan staff and spend. All of them follow the same date range.

  • Peak hours

A heatmap of incoming messages by weekday and hour, in your business's own timezone. If Saturday late morning is dark red, that is when you need two people on the inbox.

  • The AI and your team

How many outgoing messages came from the AI and how many from people, how many chats the AI handled alone, and how often someone stepped in or took over.

  • First reply time

Per weekday, with the median, the slowest tenth and how many chats it covers, against your target drawn as a dashed line.

  • Messages and chats over time

Incoming against outgoing per day, and chats that came in, got a reply or were new. Ranges past 60 days fold into weeks, so 12 months reads as 52 bars.

  • Where it comes from

Messages per channel, with the busiest called out and unused channels left off.

  • Deals and campaigns

Open deals by stage with their value, deals won and lost with the win rate, and campaigns from sent to delivered, read and replied, with failures shown separately.

A peak hours heatmap of incoming messages by weekday and hour in Lahore time, busiest on Saturday at 12:00, and the AI against your team: chats handled by the AI alone, chats where a person stepped in, handoffs and takeovers.

03: LEAD QUALITY

See which chats are worth a call today

With AI lead labelling on, the third row of tiles shows hot leads with their warm and cold counts, hot leads still waiting for a reply, how many chats have a label and how many the team corrected, and the spam and job enquiries the AI set aside. Each opens the inbox filtered to those chats.

What customers want ranks the reasons people wrote, such as booking, pricing or a complaint, with how urgent they were. Click one and the inbox opens on just those chats. Hot leads waiting is a named list, longest wait first, and each row opens the chat.

With labelling off, this section is one line explaining how to switch it on, not a row of zeros.

What customers want over the last 30 days, ranked: booking, pricing, information, existing customer, complaint and other, each with its share of chats and how many were urgent.

04: EVERY REPORT IN ONE PLACE

The other reports, where you already work

Each part of RaabtaHQ keeps its own report next to the work. A recent activity feed on the dashboard lists new messages, new contacts, updated deals and broadcasts, each linking to the record.

  • Pipelines

Open and weighted value, win rate, value by stage, and worklists for deals closing, going stale after 14 days or unassigned.

  • Broadcasts

Recipients, sent, delivered, read and replied, a table per person and a CSV export.

  • Reviews

Average rating, requests sent, click and completion rates, and a rating trend.

  • Website enquiries

This month, still untouched, time to first touch and spam rate.

  • Ads

Which ad brought which leads, deals and revenue, and each ad followed through your pipeline.

  • AI usage

What the AI spent, with a daily chart and a breakdown by feature and model.

05: ON YOUR PHONE

Yesterday's numbers on WhatsApp, before you reach the shop

An owner who is out of the shop all morning may not open a dashboard, but they will read WhatsApp. So we send the numbers there. The summary comes from your own WhatsApp number, at the time you choose, in your own timezone. It tells you how many leads came in and from which platform, how fast they were answered, and how much the AI handled against your team.

We set it up with you. Tell us who should get it, how often and what it should say, and the RaabtaHQ team configures it for your account. To change it later, message us.

  • Daily, weekly, monthly, or all three

Up to three schedules, each with its own day, time and wording, such as a daily one for the owner and a monthly one for the accountant. Several people can receive it, each choosing which schedules they get.

  • What's in it

New contacts and new conversations per platform with each one's share and change against the last period. Messages in and out, chats answered, average and median first reply, and read rate. AI against team: messages, chats the AI handled alone, handoffs and takeovers. Then the same per channel, busiest first.

  • Finished periods only

Daily covers yesterday, weekly the last seven days and monthly the month just ended. A 09:00 summary stays at 09:00 when the clocks change.

  • Plain when it's quiet

A quiet day gets a short honest message, not twenty lines of zeros. A figure that cannot be measured shows a dash.

  • Your words around it

A greeting before the report and your own sign-off after it.

  • Private lines stay private

Chats on a colleague's private number are left out, so an owner's summary never shows their volume.

The daily summary on the owner's phone, sent from the salon's own number Zeenat front desk: Monday's 23 new contacts by platform, 41 chats answered, a median first reply of 2 minutes 5 seconds, 17 handled by the AI alone and 4 handed to the team. The RaabtaHQ team sets it up with you; there is no settings screen.
Behind it, a smaller monthly summary goes to Accounts: October's 142 new contacts, 1,086 chats answered and a median first reply of 2 minutes 11 seconds.

The honest part

What it won't do

  • Let you edit the summary in settings

The RaabtaHQ team sets it up and changes it with you.

  • Send the summary without your own number

It needs one of your connected WhatsApp numbers. There is no shared RaabtaHQ number to send from.

  • Send a missed summary late

If the service is down at the scheduled time, that summary is skipped.

  • Arrive by SMS

    The summary goes on WhatsApp.

  • Show private chats in your figures

Private numbers are left out of the dashboard and the summary.

  • Draw lead history from before labelling began

The leads chart starts from when lead labelling history began, and says so.

Questions about reports

Asked by owners who check the numbers

Can I change what the WhatsApp summary says?

Yes. Tell us the greeting, the sign-off, who gets it and how often, and we change it for you. It is set up by the RaabtaHQ team, so there is no screen for it in your settings.

What if someone replies to the summary?

If it was sent from a number your inbox uses, the reply arrives in your inbox as a new contact, and the assistant on that number may answer it. When we set the summary up, we agree with you which of your numbers it comes from.

We have a clinic account. Which dashboard do we see?

Industry accounts open on their edition's own dashboard, or a doctor's own day. The general dashboard on this page is still there, as the CX Dashboard.

Why do some of my lead tiles show nothing?

Lead quality needs AI lead labelling switched on. Until it is, the section shows one line explaining how, rather than four zeros.

Do figures follow my timezone?

Yes. Peak hours and the summary use your business's own timezone, set in your account.
