Every case, every deadline, every document chased

Student recruitment in Pakistan runs on WhatsApp, on counsellors' own numbers, against intake deadlines set in another hemisphere. The case file usually sees none of it.

  • Cases, tracks and gated step checklists
  • Counsellors keep their own numbers, privately
  • Document chase in Urdu, Roman Urdu or English
  • University commissions split to sub-agent partners

What is different about this in Pakistan

The parts that are not the same as running the same business somewhere else.

  • Counsellors own the relationship, and that is not changingA counsellor's personal WhatsApp is where the student actually talks to them. Linking that number as a private one keeps their threads out of the shared inbox entirely — isolated by row-level security, not by a UI filter — while the case, the documents and the money stay with the consultancy.
  • Sub-agent commission splits are the normal structureMost Pakistani consultancies work with partners and split university commission with them. Commission agreements, splits and remittances are records in the module rather than a spreadsheet somebody maintains.
  • Deadlines are somebody else's calendarSeptember and January intakes, visa filing windows and university deadlines are dates on the case. Reminders anchor to those and send as approved templates when the WhatsApp window has long since closed.
  • The chase happens in Roman UrduFollow-ups asking for a transcript or a bank statement land in whatever language the student uses, voice notes included.

The document chase, run against a real checklist

Each step of a case carries a versioned checklist, so “what is still missing” has an answer rather than being reconstructed from a WhatsApp thread. The assistant reads the outstanding items on that student's case and names them specifically, and stops chasing when the document arrives without anyone remembering to stop it.

Two money systems, kept apart

Student fees and university commission are different businesses with different timing, and combining them is how a consultancy loses track of what it is actually owed. They are separate in the module: student invoices and payments on one side, commission agreements, partner splits and remittances on the other.

The assistant informs; a counsellor advises

It reports case status, lists outstanding documents and answers factual questions about programmes and requirements. It will not tell a student which offer to accept or how to present a refusal history — that is the advice the consultancy is paid for, and the toolset reflects it.

Cases and tracks for admissions and visas, checklists with a real gate, branch scoping, and two separate billing systems — one for students, one for university commission.
