The chase runs itself, against a real checklist

A case moves through steps with a gate on each one, and the documents each step needs are a versioned checklist rather than a note in somebody's head. So “what is still outstanding” has an answer the assistant can read, and the follow-up it sends names those specific items instead of asking the student to check their email.

The consultancy still holds the case, the documents and the money — the relationship stays where it already is.

This boundary is deliberate and it is enforced by which tools exist. The assistant can report a case's status, list outstanding documents, and answer factual questions about programmes and requirements. It does not counsel — it will not tell a student which offer to take or how to present a visa history — because those are the judgements the consultancy is being paid for.

Deadlines that arrive before they matter

Intakes and filing deadlines are dates on the case, so the reminder that goes out is anchored to the real one. Out of the 24-hour window it sends as an approved template, which is the only route WhatsApp permits — and the only channel that has one.
