For aesthetics clinics

The diary, the record and the money, in one place

A full clinic module — appointments, patient records, treatments, invoicing and doctor commissions — sitting on top of the messaging platform your patients already use.

  • A diary the database will not let you double-book
  • Patient records with the conversation attached
  • Invoices that freeze on issue, commissions that never recalculate
  • A Doctor role with its own workspace and its own visibility

Sound familiar?

The problems this was built for

  • A paper diary and a WhatsApp number that know nothing about each other
  • Two people booking the same chair, discovered when the second one arrives
  • No reliable answer to what a doctor is actually owed this month
  • Clinical notes in one system and the patient's phone number in another
  • Chasing no-shows and follow-ups by hand, one message at a time

The diary, and nobody double-booked

Agenda, week, month and table views over the clinic's own appointment book. The slot picker is driven by each practitioner's real availability — their working hours, minus their time off, minus what is already in the book. And a clash is not caught by a check that a race condition can slip past: it is refused by the database itself, so two receptionists on two screens cannot both succeed. Cancellations and no-shows release their slot immediately, and back-to-back appointments correctly do not count as a collision.

A patient record that includes their phone

A patient is a contact plus a clinical profile, which means the record and the WhatsApp thread are the same person rather than two systems you reconcile by hand. Open a patient and you have their history, their appointments, their invoices and the conversation, side by side.

  • Structured records: problems, allergies, medications and investigations
  • Clinical notes, attachments and prescriptions
  • Visit counts and history maintained for you, not typed in

Treatments, plans, bundles and offers

A treatments catalogue with variants and per-practitioner links, multi-session treatment plans that track where a patient is up to, prepaid bundles that hold credits and redeem against sessions, and time-bound offers. The things a clinic actually sells, modelled as they actually work rather than as generic line items.

Money that adds up months later

Invoices, payments, expenses and commissions. Two rules do the heavy lifting here, and both exist because the alternative quietly corrupts history. Invoice lines freeze the moment an invoice is issued — a correction is a void and a reissue, which also cancels the matching commission entries, rather than an edit that leaves no trace. And a doctor's commission is snapshotted at issue time and never recomputed, so changing a rate today cannot rewrite what you paid out last month. Tax applies after discount; commission is on net, not gross.

The Doctor role, and who sees what

A doctor is a team member plus a job title, not a rung on the admin ladder — so they get their own workspace (their appointments, their patients, their earnings) without being handed the account. Clinical visibility follows one rule used everywhere: admins see the clinic, a linked practitioner sees their own patients, and a front-desk agent sees appointments and invoices but zero clinical rows. Not hidden in the interface — returned as nothing by the database.

Messages that go out on their own

Confirmations, reminders, follow-ups and recalls, configured as rules against the clinic's own lifecycle events and delivered on whichever channel that patient already uses. Rescheduling an appointment moves its reminders rather than sending a second set.

Underneath

Everything in the core platform, too

An industry module adds to the product rather than replacing it. All of this comes with it.
