Aesthetics clinics
WhatsApp for aesthetics clinics
The diary, answered at midnight
Most clinic enquiries arrive on WhatsApp, out of hours, asking the same four things: what do you treat, how much, who does it, and when can I come in. All four are answerable from the treatments catalogue and the live diary.
- Books into the real diary, not a callback list
- Reminders and follow-ups go out as approved templates
- The assistant can see the diary; it cannot see a medical record
- Every enquiry becomes a patient record with the thread attached

In practice
What actually gets asked here
Real exchanges on this channel, and what happens to them.
“How much is lip filler and do you have anything Saturday?”
Quotes from the treatments catalogue, checks the practitioner's real availability, and offers two slots. Booking one writes to the diary immediately.
“I need to move my Thursday appointment.”
Finds the appointment, offers alternatives that do not collide with anything, rebooks, and moves the reminder with it rather than sending the old one anyway.
“What should I avoid after the treatment?”
Answers from the aftercare instructions you wrote into its instruction library. Anything that is a clinical judgement is handed to a practitioner instead.

It books into the diary, not into a list of callbacks
The assistant reads the same availability engine the booking screen uses, so it can never offer a slot your front desk cannot see. Double-booking is prevented by a constraint in the database rather than by application code, which means a race between a walk-in booked at reception and a slot confirmed over WhatsApp resolves correctly instead of producing two patients at 3pm.
- Practitioner hours, time off and treatment duration all respected
- The no-overlap rule is a database constraint, not a check that can be skipped
- A booking made on WhatsApp is a row in the diary the moment it is confirmed

Reminders survive the 24-hour window
An appointment booked three weeks out is well outside WhatsApp's 24-hour reply window by the time the reminder is due, so a plain message would simply not send. The clinic module's lifecycle rules send those as approved templates instead — confirmation, reminder, cancellation and follow-up — and a rescheduled appointment cancels its old reminder rather than firing both.

The assistant has no way to read a medical record
This is the part worth being precise about. The clinic's AI tool group exposes treatments, practitioners, availability and appointments. It does not expose clinical notes, prescriptions, allergies or the structured patient record — not gated behind a setting, but absent from the toolset the autonomous assistant is built with. The safest guarantee that an assistant never reads a medical record is to give it no way to ask.

The ad that brought the patient, tracked to the treatment
Click-to-WhatsApp ads are how most aesthetics clinics buy demand. The click id arrives on the first message and never again; it is captured and frozen against the patient, so when they are invoiced months later the conversion reports back to the ad that caused it, with the value attached.
Boundaries
What it will not do
Most of these are not settings. They are tools the assistant was never given.
- It will not read or quote a clinical note, prescription or allergy — those tools are not in its toolset at all
- It will not diagnose, or tell a patient whether a treatment is suitable for them
- It will not issue a refund or edit an issued invoice
- Anything marked critical stops and asks a person, with a countdown and a stated fallback
