An engagement, and the tracks inside it
A client comes to you for an outcome — a trading licence and two investor visas — not for a list of tasks. That outcome is one engagement, holding a track for each thing being done: the formation, each visa separately, the bank account, a marketing retainer. Two investor visas are two tracks, because that is two people, two passports and two medical appointments. Each track moves at its own pace against an authority you do not control, and the engagement shows you where the whole thing stands.

Checklists that cannot be quietly rewritten
Every track carries a checklist copied from the published template of the service at the moment it was sold. Editing that template afterwards changes nothing on work already running — a client who was never asked for a document must not later appear to have skipped one. When a rule genuinely changes, adopt the new version onto open tracks: it only ever adds steps, never touches completed ones, and a drift list shows which tracks are still on the older version so you can decide case by case.
- Progress is measured over required steps, so optional items cannot inflate it
- Steps can be completed out of order — an early approval must be recordable
- The gate lives in the database, so the screen, the AI and an import all obey it

Renewals are the business, so they are not a reminder list
A setup happens once; the licence, the establishment card, the visas and the VAT return come back every year, and that is where the repeat revenue is. Record an expiry date on a company or a person and the renewal follows from it — chased on the lead days you choose, and rolled forward from the date it was actually due rather than the day somebody got to it, so a late renewal does not permanently shift the anniversary. Nothing is marked overdue in the database; it is worked out from the date every time you look, so a sweeper that fails to run cannot make a lapsed licence report as fine.

Your fee and the fee of the authority are not the same money
Most of a setup invoice is not yours. A free-zone licence fee is collected from the client and paid through to the authority at cost — not taxed, not revenue, not commissionable — and an invoice keeps it in its own column alongside your professional fee. It matters more than it sounds: a firm booking those charges as revenue believes it is several times the size it is, and every decision it makes from that number inherits the error. Commission is calculated on the net fee and frozen when the invoice is issued, so changing a rate never rewrites a payout already earned.

The client does their own part
Staff open a case and invite the client onto it — one client, or several. They sign in with an ordinary email and password, exactly like a team member, and see that engagement and nothing else: how far it has got, which documents are outstanding, the forms they need to complete, and what they owe. Whether an item is shown to a client is decided once when the checklist is designed, not remembered case by case, and access is granted per engagement rather than switched on by their role — so a client added to one case cannot see another.

What the assistant is deliberately not allowed to do
Advising on immigration for reward is regulated, so the AI is given no tool that could submit a filing, promise a licence date or read an identity document. It can tell a client where their case has got to, what is outstanding and when a renewal falls — and that is the whole of it. Passport numbers, Emirates ID numbers and tax registration numbers are never among the fields it can read, because a field it cannot select is a field it cannot repeat into a chat.
