WhatsApp for business setup consultancies

Renewals nobody has to remember

Business setup work is deadlines and documents: a licence that expires, a visa that needs renewing, a form nobody has signed. The client asks about it on WhatsApp, and the answer lives in three different files.

  • Reminders anchored to the real renewals calendar
  • Answers status questions from the live engagement
  • Chases outstanding requirements by name
  • Never files anything on the client's behalf

In practice

What actually gets asked here

Real exchanges on this channel, and what happens to them.

  • “Where are we with the trade licence?”

Reports the engagement's current step and track, and what it is waiting on — which is usually something from the client.

  • “What do you still need from me?”

Lists the outstanding requirements on that engagement, specifically, rather than re-sending the original document list.

  • “When does my visa expire?”

Answers from the obligations calendar, and the reminder for it was already scheduled the day the visa was recorded.

01 / 04

The renewals calendar does the remembering

Licences, visas and compliance obligations are dated records with reminders scheduled against them, not a spreadsheet somebody checks on a Monday. A reminder that has to go out three months after the last conversation is well outside WhatsApp's 24-hour window, so it sends as an approved template — the only route the platform allows and the only channel that has one.

02 / 04

Three kinds of money, kept apart

Your fees, government disbursements and supplier costs are separate streams in the module, which is what makes an invoice question answerable rather than an argument. When a client asks what a figure was for, the assistant can report the invoice summary without anyone reconstructing it from a folder.

03 / 04

It informs; it never files

The boundary is enforced by which tools exist. The assistant can read services and their requirements, an engagement's status, outstanding requirements, upcoming renewals and an invoice summary. There is no tool that submits a filing, registers a company, or applies for a visa — so there is no configuration in which it does one of those by mistake.

04 / 04

The client portal is the other half

Clients who want to look rather than ask get a login of their own, scoped by a per-engagement grant. A portal client reads zero core rows — they are dropped out of account membership at the database level — so “the client can see their case” and “the client can see the firm” are not the same permission.

Boundaries

What it will not do

Most of these are not settings. They are tools the assistant was never given.

  • It will not submit a filing, a registration or a visa application
  • It will not give legal or tax advice
  • It will not issue or edit an invoice
  • Anything marked critical stops and asks a person, with a stated fallback if nobody answers
