The renewals calendar does the remembering
Licences, visas and compliance obligations are dated records with reminders scheduled against them, not a spreadsheet somebody checks on a Monday. A reminder that has to go out three months after the last conversation is well outside WhatsApp's 24-hour window, so it sends as an approved template — the only route the platform allows and the only channel that has one.

Three kinds of money, kept apart
Your fees, government disbursements and supplier costs are separate streams in the module, which is what makes an invoice question answerable rather than an argument. When a client asks what a figure was for, the assistant can report the invoice summary without anyone reconstructing it from a folder.

Clients who want to look rather than ask get a login of their own, scoped by a per-engagement grant. A portal client reads zero core rows — they are dropped out of account membership at the database level — so “the client can see their case” and “the client can see the firm” are not the same permission.
