Follow up quotes that went quiet

Give the AI assistant one standing job: every Monday, write to customers who received a quote and went quiet. It writes to each one, notes any changes on their deal, and hands the conversation to your salesperson with the reason.

Every Monday at 10:00 a trigger runs on a saved list of Shaheen Furniture customers with a deal at Proposal Sent who haven't written for seven days. The team tops the list up from its saved filter each Monday. The preview shows 18 would get a message and 2 are skipped: one opted out, one mid-chat.
Asad sends the revised quote for PKR 289,000; the deal moves from Proposal Sent to Negotiation and is later won.

A quiet quote, back on the board.

Every Monday the assistant checks on quotes nobody has replied to for a week

  1. Trigger: a weekly job on a saved list.

Every Monday at 10:00 a trigger runs on a saved list of customers whose deal is at Proposal Sent and who haven't written for seven days. The team tops the list up from its saved filter each Monday. Before it was switched on, the preview showed who it would message and who it would skip, and why.

  2. What the AI does: one message to each customer.

The assistant writes to each person about their quote. Tariq replies that he wants eight chairs instead of six and asks for a new price.

  3. What the team sees: the change, written down.

The activity story shows that the assistant replied, added a note to the deal, and handed the chat to Asad with the reason.

  4. Result: the quote is back on the board.

Asad sends a revised quote, the deal moves to Negotiation, and it is later won.

How it is put together

  • A saved list of quiet quotes.

Filter by deal stage and by last message not in the last seven days. A live count updates as you build it, and the rules are restated in plain English. Lists are snapshots, so the filter is saved with the list for topping it up on purpose.

    Contacts and saved lists

  • A trigger on a schedule.

Every day, week or month at a set time, with a brief written in plain words, as you would brief a colleague. One run per contact. New triggers start switched off.

AI that works on its own

  • Preview and skip reasons.

People who opted out, are on a private number, are already mid-chat with an assistant, or are on your AI exclusion list are always skipped, and the preview counts each reason before anything is sent.

AI that works on its own

  • Safe pacing.

Up to 500 contacts per run, messages paced so they don't leave at once, and nothing sent outside business hours.

AI that works on its own

  • Notes on the deal and a handoff.

The assistant writes changes onto the deal and hands the chat to a teammate with the reason.

    Pipelines

Runs on: a follow-up a week after the customer's last message needs a channel with no 24-hour limit, or a template.

  • Your own linked number (unofficial) and email: no time limit. This story uses the shop's own number.
  • WhatsApp official API: brief the trigger to send your approved template.
  • Instagram and Messenger: not suitable, because replies stop 24 hours after the customer's last message.

About follow-ups

Asked by sales teams

Will it message people who said STOP?

No. Opted-out contacts are always skipped, along with people mid-chat with an assistant and numbers on your exclusion list.

Does the list update itself?

No. A saved list is a snapshot, so you can always see who a run went to. The filter is saved with it, so topping it up takes one step.

Can I see who it will message before it starts?

Yes. The preview names the first contacts it would act on and counts everyone it would leave out, with the reason. It costs nothing and sends nothing.
